To access your ctcLink account please follow the above guide to activate your account. Then use the ctcLink Login link listed in the activation guide and on the Employee Portal.
HOW TO GET HELP WITH ACCOUNT ACTIVATION
If you encounter technical problems while trying to activate your account, please contact the IT Helpdesk at IT.HelpDesk@skagit.edu or by phone: 360-416-7766. We also have an open drop-in help session Wednesday, Thursday, and Friday from 9am – 4pm via Zoom.
EMPLOYEE INFORMATION
Employees should review their information, but not make changes at this time. If you identify critical payroll changes for the 10/25/21 paycheck that can’t wait for the 11/10/21 paycheck, email HR@skagit.edu. If you need to set-up a direct deposit account because your account is incorrect or missing, or you were notified that your credit union deduction needs to be changed to a direct deposit account, email HR@skagit.edu before making those changes. Please do not submit W-4 changes right now. This can be done in future pay periods.
HR is still working to verify that all employee job information is correct, so please do not submit timesheet information today. If timesheets are submitted too early, they could contain incorrect job information. There will be support sessions to help employees and managers with time and absence reporting starting on October 13, 2021.

ctcLINK SUPPORT SESSIONS FOR SVC PROJECT STAFF
Staff across many departments are working in all-day training sessions this week with the SBCTC support team. We appreciate everyone’s patience as our enrollment, advising, admissions, payroll and HR, financial aid, finance, and cashiering offices continue their all-day work with SBCTC.
STUDENT EMPLOYEES
For purposes of payroll, please encourage student employees to also activate their ctcLink account today and submit any time worked between Oct. 1-Oct. 15 through their ctcLink account starting October 13. The account activation process is the same for student employees as all employees.
Note: Student employees who activate their accounts this week as employees also see (and activate) their student self-service.
ONE LAST THING
When you activate your account, a pop-up window will present your new ctcLink ID number. Write it down, it will not be shown again. If you forget your ctcLink ID number, contact the IT Help Desk. Thanks everyone!

Colleagues,
We have successfully launched ctcLink! Our project team spent Sunday completing the final validation of our data and we are now live. What an amazing accomplishment! This is a major step for Skagit Valley College and we are excited to start learning and mastering this new system.
As noted in earlier updates, the next few weeks will be extremely busy. This week, beginning Oct. 12, we need employees to focus on activating their ctcLink accounts and inputting their time and leave for payroll. We’ve developed a staggered approach for activating ctcLink user accounts. This is to avoid overwhelming our new system and to allow IT staff to focus on assisting specific groups with any technical issues that arise.
DATES TO ACTIVATE CTCLINK ACCOUNTS
Faculty and staff members are invited to activate their ctcLink accounts beginning October 12 and after.
Note: those who activated accounts in test environments prior to ctcLink go-live must activate again now. Your ctcLink ID (EMPLID) will be the same as you used in the test environment.
- Step-by-step instructions are available on the Employee Self-Service Tutorials and Help Resources page. ctcLink icons have been added to the staff portal.
- Classified, hourly, and student employees: make sure you’ve activated your account, and have a plan for submitting timesheets by Friday, Oct. 15.
- Managers: check in with your classified, hourly, and student employees regarding account activation and timesheets.
Students are invited to activate their ctcLink accounts beginning Monday, October 25, and that entire week.
- Step-by-step instructions will be available on the ctcLink Resources for Students page on Oct. 25.

Dear College Community,
Only 3 more days until we are live with ctcLink! This day has been more than a decade in the making and it is finally less than one week away! Go Skagit Valley College!
This email provides information about important next steps in Skagit Valley Colleges’ move to ctcLink over the next few weeks as well as details on “how to” and support information for Go Live.
We want you to be aware of the support we have planned as we learn the new system and important dates over the next few weeks.
Employee Support Plan
The next few months will be a busy time as everyone at the College begins to use ctcLink. Most of us will need help doing familiar things in new ways. Here is the recommended process for getting help with ctcLink:
- Stay in contact with your colleagues and supervisor. Often the fastest and most specific information you can get is from people trying to do the same things you are.
- If your issue isn’t easily answered by your friends, please consult our library of step-by-step guides available on the ctcLink Employee Self-Service Tutorials and Help Resources webpage.
- If you can’t find the needed step-by step instructions on the website, please contact the IT Helpdesk. The IT Helpdesk will log your concern, relay your questions to the correct person, and monitor progress. The IT Helpdesk has two possible actions for your issue:
- Make a deep dive into the extensive libraries of documentation. Helpdesk workers have experience finding answers, or
- Refer your issue to a ctcLink subject matter expert (SME).
- All of the subject matter experts will be very busy during all of October. However, some issues can only be answered by a subject expert. SMEs have three possible actions for your issue:
- Resolve the issue using their knowledge and access,
- Refer the issue to the Security Team for configuration changes, or
- Refer the issue to the State Board ctcLink HelpDesk.
Access to ctcLink
Our official Go Live date is on October 11, as you know. However, only the Subject Matter Experts (SMEs) will be able to get into the ctcLink PeopleSoft system the first day. The rest of us will receive access to the ctcLink PeopleSoft system on October 12. An email will be sent out to the college with the link and instructions on how to login to the system; please look for that email.
When you get access to the system, please activate your account and check your personal information. Do not input any financial transactions once you get access to the system, e.g., requisition, travel, or expense, until you have received the okay to do that from Kim Cook.
What’s Been Happening This Week and What to Expect Oct. 11 – Nov. 10
Monday, Oct. 4
- TLR is now set to inquiry only (users will be unable to submit or approve timecards). Employees will be able to see their historical timesheets within TLR.
- ctcLink Production Accounts “lock” at 5 pm: ctcLink production accounts for class schedulers and enrollment staff are locked.
Wednesday, Oct. 6
- FMS: Last day for any data entry into the legacy Financial Management System (FMS). September accounting month end ran overnight. Limited FMS access was available Thursday morning.
- Admissions: Last day to approve any web admissions applications in SMS to have them brought over into ctcLink.
Thursday, Oct 7:
- SBCTC set all our SMS, FMS, and PPMS access screens to inquiry only. SBCTC’s ctcLink team begins converting our data into ctcLink.
Friday, Oct. 8:
- Legacy SMS/FMS/PPMS Access: Staff regain view-only access to the legacy systems.
Sunday, Oct. 10:
- The project team will gain access to our newly converted data. Teams will be on campus to validate data and SVC will officially transition to the live system.
Next Week: October 11-15
Once we ‘go live,’ we will have two major focus points:
- getting timesheets in for our first ctcLink payroll
- preparing for the start of Winter quarter enrollment

Tuesday, Oct 12
- Classified, hourly, and student employees: make sure you’ve activated your account, and have a plan for submitting timesheets by Friday, Oct. 15.
- Managers: check in with your classified, hourly, and student employees regarding account activation and timesheets and approve timesheets and leave by Friday, Oct. 15.
- Faculty are invited to activate their ctcLink accounts for leave reporting.

Friday, Oct. 15 – Timesheets are due for classified, hourly, and student workers. Any leave requests for this period are also due for all employees.
What else will be happening this week? Departments across Skagit Valley College will be logging into ctcLink production, settling in, and getting ready to serve students and other employees. HR will be refining recruitment and employment processes. Purchasing will be recreating about 300 blanket purchase orders. Enrollment will be setting up enrollment appointments for Winter Quarter. Cashiering and business office teams will be working on getting tuition and fee processes all set for Winter Quarter enrollment to start.

Gratitude for our Fantastic Team
October 11 marks the beginning of the next chapter for SVC as we all truly begin to learn the new system, find new ways of doing our work, and discover ctcLink’s quirks. We are making this change together, and will need to continue to rely on each other for grace, patience, and support.
As always, I am so encouraged by our collaboration, problem-solving, and perseverance. Each day we have overcome obstacles, made progress, and provided solutions to a multitude of questions. This was only possible because of the people on the state’s and SVC’s ctcLink implementation, steering, and project management teams.
Thanks to each one of you who have served diligently on one or more of those teams! I am so very proud of the SVC team and their commitment to this amazing project.
I believe next week will be full of rewards and challenges as we learn to do our work differently. Please remember to have compassion and patience with yourself and those around you. Thank you!

New Secure MySVC tools coming in early October!
Hello Student,
New and improved student self-service tools will be available Oct. 25!
In the new ctcLink system, College services such as registering for classes and updating your student information will be more user-friendly.
Please be aware that you will not be able to view updates to your student record until Oct. 25 when ctcLink “goes live” for students. You will still have full access to your coursework through Canvas and classes will not be disrupted during the transition.
FAQs for Students:
Will the ctcLink ID replace my SID?
Yes, the ctcLink ID will replace your SID number.
How do I get my ctcLink ID number?
You can log in to your ctcLink account on October 25. A welcome email will come to your SVC email account to activate your new ctcLink account. You will need to activate your ctcLink account to register for Winter Quarter 2022.
What if I already have a ctcLink ID number from another college?
If you have already received a ctcLink ID (called an EMPLID in the system) from another college in the Washington community and technical college system, you do not need to activate your account or receive a new number. The ctcLink ID number you already have is what you will use at SVC.
ctcLink ID vs. EMPLID?
You may see EMPLID referenced in the system. Please note that a ctcLink ID and an EMPLID are the same thing.

ctcLink Office Closures and Limited Service Hours
We are just 6 short days from when ctcLink will go live! Staff in many areas of the college have been working tirelessly in preparation. The work does not end when we launch on October 11ᵗʰ.
Many offices will have a particularly heavy lift the weeks following our go‐live date and will be working with SBCTC to ensure our conversion was successful. As we transition, these offices will be operating with limited services or closures between October 11‐25 on both the Mount Vernon and Whidbey Island Campuses. During this period, please hold your questions and inquiries until open hours of service. If your questions are not critical, please wait until after October 25ᵗʰ to reach out to your colleagues in these areas. Our colleagues need every closed‐door minute to successfully return to normal operations.

Dear College Community,
We go live on ctcLink in 10 days! I can’t believe it – it is finally here! I am excited and nervous at the same time. I hear many of you are feeling this way, too.
I have received many questions about what will happen with students. Please remind students that their classes and Canvas will NOT be interrupted. Students will be able to activate their account in ctcLink on Oct.25. They will receive more information over the next few weeks to help them prepare for this change. IT staff will be on standby to assist with technical issues. Online help and support—both self-service tutorials and Zoom meetings will also be available.
In preparation for ctcLink we are now processing enrollment changes differently. If students want to add or drop a class for Fall quarter, please direct them to https://secure.skagit.edu/AddDrop.
Services that rely on student records, e.g., registration, admissions, financial aid, etc., will have office closures or offer limited-service hours during this time.
I know you all do this already, but I want to remind you to please let students know we care about them and will do everything we can to support them during this transition. Please also reassure our students that this change is going to make the logistics of being a Skagit Valley College student so much better!

Hello Student,
Skagit Valley College is transitioning to ctcLink: a new centralized system that will change how you do business online. In October, you will receive instructions on how to activate your ctcLink account. Once your account is activated, you will have 24/7 access to the new and improved student self-service tools. There is no expected disruption to classes or the Canvas platform during the transition to ctcLink.
Important Dates and Deadlines
- September 26: Last day to apply for Emergency Funding until after we are live in ctcLink.
- September 27: Last day to withdraw from courses and receive a 100% refund
- September 27: Last day to make adjustments to your financial aid. The college will not be able to make financial aid disbursements from September 27 until November 8 (this date is subject to change).
- September 28: Last day to make changes to your student record before going live in ctcLink on October 25. This means, you will work with staff to make needed updates and will not be able to view those updates until October 25. Any updates to your Canvas courses may be delayed during the transition.
- September 29: Last day for all student funding transactions in our current system for Fall Quarter.
- October 4: Last day to withdraw from courses and receive a 50% refund and last day to withdraw without a “W” grade notation on your transcript.
- October 11-October 20: All offices, except classroom instruction, will offer limited services.
- October 25: ctcLink is live! Students activate their ctcLink account and receive a new ctcLink ID.
- November 1: Winter Quarter 2022 registration opens for returning students.
- November 8: Financial Aid disbursements will resume in the ctcLink system (date subject to change).
ctcLink Account Information
You can log in to your ctcLink account on October 25. A welcome email will come to your SVC email account to activate your new ctcLink account. You will use your current Student ID number as a first-time user and your new ctcLink ID will appear in a pop-up window. You will need your new ctcLink ID for Winter 2022 registration and logging in to Canvas for Winter Quarter. More detailed instructions will be sent closer to the go live date of October 25.

Dear College Community,
The countdown to go-live is official now: 18 days and counting!
The Skagit Valley College ctcLink Project Team has voted to “GO-Live” on ctcLink for Skagit Valley College on Sept. 21.
Going live with ctcLink is exciting for our college community, especially our students. The work we have accomplished to get here is remarkable.
Oct. 11 doesn’t mark the end of our ctcLink project, but it does signal a critically important milestone of beginning to use ctcLink PeopleSoft for college business.
Our project will continue as we activate employees and students on the system, help them learn how to navigate the system’s functionality, and assess how our internal business processes need to be refined to efficiently work in the new ctcLink environment. Employees will be able to activate their ctcLink accounts and work in the new system on Oct. 13 and students will start activating their accounts on Oct. 25.
Many of our college services will be closed and not processing transactions in the first few weeks following the Oct. 11 go-live date. Colleagues in these departments need to focus on preparing the systems, training, and, ensuring ctcLink is stable to process our services. Please visit the ctcLink website for the closure dates.
Using the ctcLink system will be a big change for our college and work processes. The project has been — and will continue to be — a challenge as we work through this change, knowing that not all will be perfect with the system. We still have a lot to learn, but I’m confident in our continued ability to work together and deal with any glitches.
Please be patient and extraordinarily kind with those who are working on the ctcLink project, especially those in the business office, human resources, student services, continuing education, instruction, and information technology services. They are working countless hours to make ctcLink happen.
This is an exciting time! I really appreciate Benjamin St. Germain’s leadership, Vanessa Allen’s organization and creativity, as well as all the members of the SVC ctcLink project team. Thank you to so many who have worked tirelessly to advocate for students and employees to have access to better technology solutions. Thank you for your work and support.
ctcLink Supervisor and Manager Update September 23, 2021
Dear supervisors and managers,
We are just 18 days away from our ctcLink Go-Live date!
Email communications for supervisors will be sent weekly leading up to Oct. 11 with three focus areas: upcoming cutoff dates, training and support, and talking points for supervisors to share with their team. Frequent communication from supervisors to employees is the best way to ensure all employees have the information they need to be prepared for ctcLink.
Upcoming Cutoff Dates
- Wednesday, Sept. 22 – Last day to turn in any PRs/Invoices, Travel and Expenses for payment by the Business Office.
- Thursday, Sept. 23 – A19s visa reconciliations are due (no leeway this month)
- Friday, Sept. 24 – Last day for employees and managers to submit any employee, job, or payroll changes to HR (PANs, Name/Address, Direct Deposit, W-4)
- Monday, Sept. 27 – Business office processes must be completed – visa charges reviewed and processed.
- Monday, Sept. 27 – Last day that student enrollment transactions will be processed until we are live in the new system.
- Wednesday, Sept. 29 (by 4:30 p.m.) – Last day for student and department cashiering transactions in business offices at college. Last day of financial aid disbursement until early November.
Training and Support
The new ctcLink website is now available. At this time, the most beneficial thing employees can do to prepare is to begin reviewing training content. Please encourage staff to visit ctclink.skagit.edu/training where they will be able to enroll in self-paced Canvas training.

Talking Points for Supervisors
Here are a few items to share with your staff.
- Training is available at ctclink.skagit.edu/training. The website also includes key dates, help resources and a timeline and will continue to be updated as new information becomes available.
- On Thursday, Sept. 16, our pillar leads and SMEs participated in a mock Go-live session to test the new system and validate our data.
- On Tuesday, Sept. 21, the ctcLink project team met with President Keegan to debrief after the mock session.
- Employees will receive communication after Oct. 11 about when they can begin activating their ctcLink accounts and enter their time and leave information for Oct. 1-15 for payroll processing of the Oct. 25 payroll.

Important Dates and Deadlines
- September 26: Last day to apply for Emergency Funding until after we are live in ctcLink.
- September 27: Last day to withdraw from courses and receive a 100% refund.
- September 27: Last day to make adjustments to your financial aid. The college will not be able to make financial aid disbursements from September 27 until November 8 (this date is subject to change).
- September 28: Last day to make changes to your student record before going live in ctcLink on October 25. This means, you will work with staff to make needed updates and will not be able to view those updates until October 25. Any updates to your Canvas courses may be delayed during the transition.
- September 29: Last day for all student funding transactions in our current system for Fall Quarter.
- October 4: Last day to withdraw from courses and receive a 50% refund and last day to withdraw without a “W” grade notation on your transcript.
- October 11-October 20: All offices, except classroom instruction, will offer limited services.
- October 25: ctcLink is live! Students activate their ctcLink account and receive a new ctcLink ID.
- November 1: Winter Quarter 2022 registration opens for returning students.
- November 8: Financial Aid disbursements will resume in the ctcLink system (date subject to change).
ctcLink Account Information
You can log in to your ctcLink account on October 25. A welcome email will come to your SVC email account to activate your new ctcLink account. You will use your current Student ID number as a first-time user and your new ctcLink ID will appear in a pop-up window. You will need your new ctcLink ID for Winter 2022 registration and logging in to Canvas for Winter Quarter. More detailed instructions will be sent closer to the go live date of October 25.

Dear College Community,
ctcLink training is available to you. I strongly encourage you to enroll and complete the recommended training. Many of the trainings are self-paced and can be accessed at ctcLink.skagit.edu/training.
Participation in the training will help us support our students as we transition to ctcLink. Expanded information, including help resources and reference guides, will be available on the new SVC ctcLink website. Please check with your supervisor or contact the SVC project team at ctclinkinfo@skagit.edu if you have training questions.
To support our training efforts, Andy Heiser has returned to Skagit Valley College to coordinate ctcLink training. Andy brings a wealth of experience in project management, customer service, and technology implementation from his tenure as Director of IT.

As a reminder, here are some important dates to note:
- Thursday, Sept. 16 – Last approved start date for full-time faculty and new hires
- Monday, Sept. 20 – Last approved start date for hourly/student and associate faculty new hires
- Friday, Sept. 24 – Last day for employees and managers to submit any employee, job, or payroll changes to HR (PANs, Name/Address, Direct Deposit, W-4)
- There is an early TLR deadline at the end of the month. Timesheets for the 9/16-9/30 pay period will be due from employees by noon (12 p.m.) on 9/30 and managers must approve by end of day (5 p.m.) on 9/30.
HR will be sending more communications about this TLR deadline via email as we get closer to the end of the pay period.

In the new ctcLink system college services such as registering for classes and updating your student information will be more user-friendly. There is no expected disruption to classes or the Canvas platform during the transition to ctcLink.

You Will Have Help
On Monday, Oct. 25, you will begin to use ctcLink. You’ll receive more information over the next few weeks to help prepare for this change. IT staff will be on standby to assist with technical issues. Online help and support—both self-service tutorials and Zoom meetings will also be available. Watch your email for details. Please note: To make changes to your student record between now and going live in ctcLink on Oct. 25, you will need to work with staff to make updates and will not be able to view those updates until Oct. 25. Any updates to your Canvas courses may be delayed during the transition.
You Will Receive a New Student ID Number
To activate your new ctcLink account in October, you will enter your existing SID to receive your new ctcLink identification number. Be sure to write down or take a screenshot of your new ID number when you get it and keep it in a safe place. For assistance with taking a screenshot on your computer, watch this short YouTube video. With this you will have one ID number to access your information across Skagit Valley College as well as across the Washington community and technical college system. Your ID and records will follow you within the community and technical college system.

Please note the following temporary schedule changes in Enrollment Services and Financial Aid as we work to get our new systems up and running to serve you better:

- Oct. 12 – 14: Open 1:00-4:00pm; Note: Whidbey Financial Aid will be closed 10/11 – 10/14 for cross-training on the MV Campus.
- Oct. 15: Financial Aid Closed; Enrollment Services available remotely 9:00AM – 12:00 noon
- Oct. 18: Open 9:00AM – 4:00PM
- Oct. 19: Financial Aid Open 9:00AM – 4:00PM; Enrollment Services Open 1:00PM – 4:00PM

Only 52 days to go live with ctcLink! Listed below is a high‐level schedule of events for your awareness and planning purposes:

Overall, the project is progressing well. Our colleagues who work in student services, business services, instruction, and human resources have been testing our business processes while simultaneously learning ctcLink. They are now completing the first sprint of user acceptance testing and will begin the next (and final) sprint on Monday, August 30.
I encourage you to thank your colleagues involved in the implementation activities of ctcLink. They are putting extraordinary effort into improving our students’ experience. Change is difficult for all of us and these colleagues are doing the heavy lift for our students and the rest of us right now.
I appreciate how far we have come in preparing for this significant change because of the work of so many of you, especially as we work so hard to improve our systems. Thank you.
